Planning drinks for every guest

Some planning tips for the drinks:

  • Include aguas frescas for non-drinkers
  • Share bar opening times
  • Add food if the bar runs for a while
  • Let us know how many non-drinkers to expect

Alcohol-free drinks are always available.

A choice of soft drinks.

Prices and what affects them

Here’s what makes the biggest difference to the price:

  • Guest numbers
  • How long we’re needed on site
  • What the venue already provides
  • Adding food to drinks, or drinks to food

If you have a budget in mind, tell us, and we’ll suggest a menu that fits. A simple menu can still feel generous.

What we need to know

These details help us quote quickly:

  • The date and time of the event
  • Vegetarian, vegan, gluten-free, dairy-free and allergy numbers
  • The venue or postcode
  • Approximate guest numbers, including children

Every event is quoted individually, so the price fits what you actually want. For a quote, drop us a line using the enquiry form.

The process

Serving is quick: we serve from the hatch or a serving station, so even a long queue moves. When service ends, we pack down. In December, the light goes in Ardingly at about 3:55pm, so an outdoor bar needs lighting from the start. At midsummer, by contrast, sunset is around 9:20pm.

  1. We check availability.
  2. We suggest margaritas, beer, aguas frescas and alcohol-free choices.
  3. We confirm power, water and the bar spot.
  4. We set up and serve on cue.
  5. When the bar shuts, we clear away.

Before we arrive

  • Let us know who to talk to on the day
  • Choose a level, firm spot for the truck or trailer
  • Arrange somewhere covered for guests to eat

Ardingly: venues, access and licensing

Ardingly is about 3 miles north of Haywards Heath, in West Sussex. Tell us where your event in Ardingly will be, and we will plan the journey and set-up. We cover 371 places in West Sussex, from the larger towns to small villages, wherever the truck or trailer can get in. You can also see our page for Brighton, about 15 miles away.

Once the ceremony at a church like St Peter's Church is over, guests may be glad of a cold drink at the reception venue. Older venues around Ardingly may restrict vehicles and outside drinks service, so confirm what’s allowed before you book. The High Weald National Landscape is within about 7 miles of Ardingly, a lovely setting for drinks outdoors. Ask your venue about vehicle access for the truck or trailer.

Common questions in Ardingly

Can you cater a reception after a service at St Peter's Church?

Yes, at a garden, field or venue nearby where the truck or trailer can park. We’d serve at the reception venue rather than at the church itself. Send us the reception address.

Do you cater in the High Weald National Landscape?

Yes. Some venues there have rules about vehicles, ground and catering, so check with yours. Tell us about narrow lanes and soft ground.

Is the food very hot?

It is up to you: we can keep it mild and put the hotter salsas on the side.

Do you have options for kids?

Yes, children are welcome. Tell us how many and roughly how old, and we will plan the menu with them in mind.

Can you cater for vegetarians and vegans?

Yes, and we plan them in from the start. Tell us your numbers when you ask for a quote, and we’ll keep their options separate.

Do you do margaritas?

Yes, we offer a Mexican drinks bar, serving margaritas, Mexican beer, aguas frescas such as hibiscus and horchata, and soft drinks. Alcohol at an event may need a licence, such as a premises licence or a Temporary Event Notice, so we’ll talk licensing through with you.

What access do you need?

A level, firm spot for the truck or trailer, with access wide and high enough to drive in, plus the venue’s permission. Power and water arrangements are confirmed with each booking.

Can you come to a private house?

That depends on access. If the truck or trailer cannot reach the garden, a drive or a spot nearby may work, with permission. Tell us about the space and we will advise.

Should I do it myself?

For a small group, a taco night at home can work well. For larger numbers, mixed diets or a wedding, a caterer takes the pressure off, with allergen information for every dish.

Some hosts like to do it themselves. The usual problems are cold tortillas, running out of a popular filling and a host stuck at the stove. If you’d rather enjoy the party, let us serve.

Mexican bar hire or something else?

A self-service drinks table is simple but can run dry or go warm. A staffed bar keeps everything under control. Larger events can cost less per head, since the set-up is much the same either way. Give us your numbers and we will quote.
